Hiring an employee? The documents and deadlines you must not miss

Hiring a new employee is good news for any business — and a moment when several administrative steps must happen in the right order. A slip here is among the most common reasons for fines during a Labour Inspectorate check.

First: the employment contract. It must be concluded in writing before work begins. Agree clearly on the position, place of work, working hours, base pay and any probation period.

Second: the Art. 62 Labour Code notification. Within three days of signing, the employer notifies the NRA. The important detail: the employee may start work only after receiving a copy of the certified notification and a copy of the contract. Starting “tomorrow, paperwork later” is exactly the violation inspectors look for.

Third: the job description. Handed over against signature on the first day. It is not a formality — in a dispute, it defines what the employee’s duties actually were.

Finally: the personnel file. Contract, notification, job description, declarations, leave requests and orders, sick notes — everything is kept in the employment file, ready for inspection at any time.
